Client agreement & booking policies.

These terms explain the general conditions for inquiries and photo sessions with Astra Studios Photography. A personalized written quote and confirmed booking details will specify your actual session date, services, deposit amount and total price. If a separately signed agreement contains different terms, it governs to the extent permitted by law.

Inquiries and booking confirmation

Submitting the online inquiry form requests information only. A time and date are not reserved until Astra Studios confirms availability, sends the agreed session details, and receives the required cash booking deposit. No online payment is collected by this website.

How you accept a final quotation

Submitting an inquiry is not acceptance of a final price or a reservation. After discussing your needs, we send a personalized written quotation identifying the package, session details, full price, deposit and applicable policies. You may explicitly accept the final quotation by replying to our email or another retained written message. We keep your response as evidence of acceptance. We then receive and record the required cash deposit and issue a numbered payment receipt and booking confirmation. A cash deposit or receipt is not, by itself, a handwritten or electronic signature. No third-party electronic-signature service is required for this correspondence-based process.

Cash booking deposit

A cash deposit is required to reserve a photography session. The deposit amount will be disclosed before you accept the booking. It will be credited in full toward the final agreed package price; it is not an additional fee. We will provide a written acknowledgment of any cash payment.

Cancellation and non-refundable deposit

You may cancel your session at any time by contacting us. If you cancel a confirmed booking, the cash booking deposit is non-refundable, subject to applicable law and any written exceptions agreed with you. If Astra Studios cancels and cannot provide the agreed service or an acceptable alternative, we will return amounts paid for services not provided, as required by law or our written agreement.

Rescheduling

You may request rescheduling at any time. Contact inquiries@astrastudiosphotography.com or 347-669-5835. Rescheduling is subject to availability. We will discuss a new date with you, including any external studio, permit, or travel fees that have been specifically disclosed in advance. A requested date is not confirmed until we agree to it.

Package details, additional services and payment

Package prices are in U.S. dollars. Your confirmed quote will describe session time, people included, edited digital image quantity, outfit changes and applicable delivery timing. Additional edited photos are currently $40 each and additional family members on the Family package are currently $50 each, unless your written quote states otherwise. Studio rentals, permits, travel and applicable taxes are quoted separately when relevant. The package duration includes outfit changes. The remaining balance and cash payment timing will be listed in your booking confirmation.

Image selection and delivery

We will deliver the edited digital photographs within the timeframe listed for your selected package, ordinarily measured from the completed photo session. Your booking confirmation will note any agreed variations, including delays caused by outstanding image selections or factors outside our control. We will communicate any material change to the delivery schedule.

Client privacy and portfolio permission

Astra Studios may invite clients to permit use of selected images on our website, sample portfolio, and business social media. Signing up for a session or accepting these general terms does not authorize publication of an identifiable person's photograph. We will ask for a separate written model release describing the permitted uses. Written parent or guardian permission is needed for photographed minors. You may decline this request without changing the purchased services.

Location, safety and cooperation

Sessions must be conducted in safe, lawful locations. Site access, permits, special requirements and weather-related adjustments will be discussed when arranging your session. Clients are responsible for providing accurate booking information and for obtaining permission from owners of private premises when applicable.
